Overview

As part of the Video Hosting Project in 2023, staff Stream content is being migrated from Classic Stream to Stream on their own personal OneDrives. From here, staff will be expected to manually upload Learning and Teaching content onto Panopto. This guide describes the different steps of this process.

Video - Demonstrating the migration process


Find and download videos from OneDrive 

If you don’t have OneDrive configured to show in your local file structure, navigate to https://www.office.com/ and log in with your University account. 

Select Apps from the left-hand menu, and then OneDrive from the list of apps when they appear across the top of the screen. 

This will probably open a new tab, in here select My Files from the left-hand window. This will show you the content of your OneDrive. Your migrated video files will be in a folder called Recordings. 

Note: Any meetings / videos recorded in Teams channels will be stored separately in the SharePoint for that Teams channel. You can refer to the Microsoft guidance for destination of Teams recordings if you need more guidance. 

Open the Stream Migrated Videos folder and select the files you want by clicking the circles to the left of the filenames so they have blue ticks next to them. Once all the videos you want are selected, click Download in the top menu. 

All of the selected files will download into a .zip folder. Extract the files from this folder by double clicking in MacOS, or right clicking and selecting Unzip or Extract in Windows. 

Note: Do not rename any video files in OneDrive, this will break any existing links back to Stream


Upload videos to My Folder in Panopto 

Navigate to https://panopto.falmouth.ac.uk https://falmouth.cloud.panopto.eu/ and log in with your University account. 

Once you’re logged into Panopto, click on the green + Create button in the top left and select Upload Media from the drop-down menu. This will bring up a new window. 

Make sure the drop-down menu says ‘Add Files to’ My Folder. If not, select My Folder from the drop-down menu. 

Click where it says Choose Video or Audio Files which will bring up a file selector window. Select the videos you want to upload. You can upload up to 100 videos at once into Panopto, so feel free to select lots of videos at once (using shift-click). 

This will take some time, especially if you have a slow internet connection. As well as simply uploading, Panopto does a lot of work behind the scenes like generating auto captions and different versions of the media files.


Rename videos (titles will be visible to students) 

Students will be able to view the names of your videos when they are embedded in Learning Space or added to Playlists. Make sure the names are giving the correct and meaningful information. 

Inside Panopto, click on My Folder in the left-hand menu to view all of the videos in your Panopto My Folder

To rename a video, hover over it and click on the cog icon that appears over the thumbnail. This opens the settings window. 

On the Overview tab (which should be the default) you can see the video name with edit written next to it in blue text. 

Click edit to rename the video. Once you’re done, click save or hit enter on your keyboard.


Upload any manual captions 

Panopto auto-captions all videos, but if you’ve manually check and corrected captions prior to uploading your video to Panopto, you can easily upload your manually edited captions to Panopto. 

Inside Panopto, click on My Folder in the left-hand menu to view all of the videos in your Panopto My Folder

To add captions to a video, hover over it and click on the cog icon that appears over the thumbnail. This opens the settings window. 

Click on the Captions tab in the left-hand menu of the settings window. Click on the Choose file button and select the relevant caption file. Now select the language from the drop-down menu above. Once you’ve selected the file and language click on the Upload Captions button. 

Note: All videos will have existing automatically generated captions once Panopto has processed them. By default these captions are English (United States). If you upload new captions as English (United States) you will overwrite the automatically generated ones. This is a good hack as it avoids the possibility of students selecting the wrong captions. 

It’s a bit difficult to tell whether or not this has worked at first. The easiest way to check is to wait a few seconds and then click the Refresh button in your browser. The settings menu should show that captions are available.


Provision module or course in Moodle 


Due to improving process behind the scenes, most modules in Learning Space will now be provisioned automatically. If you cannot see the Panopto button in the rich text editor of your module, please follow these steps or get in touch with digitallearning@falmouth.ac.uk 


In order to create the integration between Panopto and your Learning Space modules or courses, you need to ‘Provision’ the module from within Learning Space. This automatically creates a folder in Panopto which is linked to your Learning Space module or course area and grants relevant permissions. 

Navigate to https://learningspace.falmouth.ac.uk/

Navigate within Learning Space to the module or course you want to provision. 

Click the grey/blue Turn editing on button in the top right-hand corner. 

A black chevron will appear slightly to the right/underneath the Turn editing on button. Click on this chevron and the Block tray will pop out from the right-hand side of the screen. The Panopto Block will be visible. Click on the words Provision Course in the Panopto block. 

Repeat this for any modules or courses with which you wish to use Panopto.


Organise videos into course folders 

Navigate to https://falmouth.cloud.panopto.eu/ 

In Panopto, click Browse in the left-hand menu. You will see a folder structure showing all of the folders that you have access to. Some of these folders will appear greyed out, this is because you only have creator access to subfolders within them, not to the parent folder itself. 

The folder Learning Space Courses will be greyed out, but you can click on the triangle to the left of the folder name to expand it. You’ll see a number of subfolders called 2018/19, 2019/20 etc. This corresponds to the year which your module is running in. Course and resource pages can be found in the subfolder called Course and Resource Pages

Click on the small triangle next to the relevant folder until you find the module or course folder that you’re looking for. 

At this point, it is recommended that you click the Drawing pin icon in the top right of the browse menu. This forces the browse menu to remain open even if you click away from it. 

Once you have found the relevant folder, click My Folder in the left-hand menu. You should now be able to see all of the videos in your My Folder, with the browse menu pinned open next to it. You can simply drag and drop the relevant videos into the correct folder. 

Videos that should be copied to module or course folders include any videos that will be embedded in Learning Space, and any videos that need to be shared with students from only that module or course. Moving these videos into the correct folders means that Panopto will automatically give viewing permissions to the correct groups of students, and saves you having to manually add student permissions for each individual student.

Create any playlists that you need 

Creating playlists can be useful as a different way to manually give viewing permissions to groups of students. 

Playlists are created within folders, so be mindful of where you create them based on who you want to share them with. 

For example, a playlist that is created within your My Folder will by default only be viewable by you, whereas a playlist created in a module or course folder will be viewable by every student on that module or course. 

Note: Any playlists that are embedded in Learning Space using the methods demonstrated on the Panopto for Staff page will automatically grant permissions to the staff and students on that Learning Space page.

Navigate to https://falmouth.cloud.panopto.eu/ and log in with your University account. 

Once you’re logged into Panopto, click on the green + Create button in the top left and select Create Playlist from the drop-down menu. This will bring up a new window. 

Here you can give your playlist a name, and select which folder to create it in. You can also give it a description. Once these details are entered click the Create button to create the playlist. 

You will now see the settings menu of the new playlist that you’ve created, including the + Add Videos button. 

Click this button to bring up a Panopto browser window where you can access all videos that you have Creator access to, and add them to your playlist. 

Select videos by clicking on them and clicking the Add button at the bottom of the screen. 

Repeat this until all the videos you want are in your playlist, then click the Close button. 

If you want to share this playlist with a specific group of students, click the Share tab in the left-hand menu of the settings window and select the users you want.
